From Solo Tool to SaaS

Overview

In 2021, the founder of Pocket PA came to Mobius with a simple starting point: build a one-stop tool for her daughter, a nail specialist, to manage day-to-day work, then grow it into a SaaS platform for other service businesses.
Pocket PA has since grown into a UK startup with active adoption, positioned as an app that combines scheduling, client management, invoicing, and payments in one workflow.

Challenge

The main challenge was not building individual features - it was making everything work under one roof and produce the exact end result for real users. Pocket PA needed a platform where appointments, clients, invoices, payments, and business finances are connected, so owners can run operations without jumping between multiple apps.
That meant careful product decisions, consistent UX, and clean system boundaries so the platform could expand over time without becoming another “toolbox app” that breaks at scale.

Discovery and product planning

We started with discovery focused on clarity and execution:

• Reviewed the current idea and target user workflows, then defined priorities and a phased roadmap
• Researched competitors and extracted the strongest patterns users already expect in this category
• Agreed on the initial scope and a release plan, then prepared a sprint-ready backlog to deliver in modules

This planning ensured the product moved toward a cohesive “all-in-one” experience rather than a set of disconnected features.

How we worked

Mobius formed a full-cycle delivery team and ran development in sprints:

• Sprint planning with clear scope and acceptance criteria
• Module-by-module delivery with QA and regression testing included in the cycle
• Controlled releases to keep production stable
• Ongoing improvements after launch based on real usage and feedback

Pocket PA was released in 2023 and continues to evolve with new features while staying stable in production.

Solution delivered

Pocket PA is built as a practical “digital assistant” for service businesses, connecting core operations in one platform:

• Appointments and online booking, designed to be simple to set up and share
• Clients management, including notes and exports for engagement workflows
• Accounts and finance visibility, including income, expenses, receipts, mileage, and outstanding payments
• Billing and payments, including invoicing and in-app card payments, with options like deposits via online booking

Platform today

Today Pocket PA is used by growing service businesses as a single system that replaces several separate tools and helping users manage bookings, client work, invoicing, payments, and finance tracking in one place.
It’s positioned for a wide range of self-employed sectors and business types, with subscription plans that support different stages of growth.

Results

• Released in 2023, and remains stable in production while actively expanding
• A growing UK startup with users switching to Pocket PA for its “all-in-one” workflow across bookings and business finances
